Most check-ins are a form: the client rates their week, the coach reads it days later, and the truth sits somewhere in between. This video walks through the check-in system built for Les Davies Coaching, designed to feel like a conversation held up against real data. The form adapts to the client's phase and answers, and a Trainerize plugin pulls their live data in as they open it: sessions, PBs, nutrition down to the meal, so a claimed great week meets what was actually logged and false deficits get spotted. Last week's commitment is pulled into this week's questions to close the loop without nagging. The client gets an instant dashboard instead of waiting days for feedback, and the coach gets the whole story in about 60 seconds through flags, with suggested actions that can change calories or habits on the client's Trainerize profile after one confirmation. The principle: better data from one piece of contact beats a week of back and forth.

Hey coach. So I want to run you through this check-in system that we're building right now for Les Davies Coaching. And honestly, I think it's the best check-in system that I've ever built. So let's get straight into it. Imagine you took a check-in form, but then you gave it back to the coach, then you went to the client, and then back to the coach, and then back to the client again. That information is what we're trying to get from one piece of contact with the client. And that's to stop all this back and forth and really have better data to go off. So to do this, we've developed quite a lot of features and a few links into Trainerize, and there's a lot going on. So let me just show you what's happening.
The very first thing is this should not feel like a form. This should feel more like a conversation. And for that to happen, it has to be very adaptive to what's going on with you, to meet you exactly where you're at, but also to have real data. Where if you told the coach, yeah, I'm having a great week with nutrition, he held up your nutrition and said, well, I don't think you are, here's what's going on. Or similarly, if you were being really hard on yourself, and the coach showed up to be like, well, here's the actual data that we can see. That would be a bit more of a conversation. So that's what we tried to do with this. It is adaptive depending on what kind of a week you've had and what kind of a phase you're in at the moment. Whether you're in fat loss or hypertrophy, or whatever the actual goal is right now, it will change depending on how you answer it.
Then from there, it's synced directly with Trainerize. We have a Trainerize plugin, so as soon as they open the form, it's grabbing all their details from Trainerize. Then it's immediately logging things like, hey, you hit these PBs this week, this is amazing. It's pulling everything in that matters: all the sessions completed, RPE, the nutrition down to every bit. So we can see, yes, you logged your nutrition, you were in a deficit on Monday, but you actually only logged one meal. Was that actually all of your food, or did you actually eat more food, or did you forget to log your calories there on the weekend? And you'll identify these kinds of false deficits and all this kind of stuff because of the information we've pulled from Trainerize into the form. And what's happening is they're answering it, but they're also seeing the Trainerize data in real time.
Then as the weeks go on, it's going to start to close some loops. So as they're checking in, it asks, well, what's one thing that you're committing to? What are you going to do next week? We're going to ask them in the next check-in, did you do what you committed to? And we'll pull in exactly what they said. So we can get it pulling in from their last check-in, but we can also get some commitments pulling in from other notes on their profile, and notes from calls and stuff like that. Essentially we're trying to close the loop and create more accountability on them doing what they said they were going to do, without actually just being like, did you do it, did you do it, and nagging them on it. So that's closing the loop inside the actual check-in form.
Then every answer they put in there makes the check-in more dynamic and more in-depth and more personalised, to meet them where they actually are. So we can see here that as soon as they go in, they're going through a green, amber, red. Then depending on what they say here, you're going on to the next one, which is, right, what's your goal at the moment? Then depending on what they say here, this is preloading the check-in with certain types of questions for different scenarios. Then depending on how you answer them, we'll follow up with either more questions or skip stuff, and you'll be able to see what's going on. And then from there, we'll be able to pull stuff up to them, to be like, hey, here's your actual weight, here's your nutrition, what's going on there. If they haven't updated their progress photos, it'll pull them on that as well.
And then it's going to hand them a dashboard. Because a lot of the time people will fill in the check-in, and there's a big gap between them completing the check-in form and them getting feedback from the coach. But we want to have instant feedback where they can see what's going on, and that's what's going to get put in front of them. They're going to see their weight, is it moving in the right direction. They're going to see their responses. They're going to see their actual nutrition from an overview of the week. Are we where we need to be on this? What's it flagging? So it's flagging here that there are only two meals tracked on the Friday. So were we actually in a deficit, or were we calorie banking, what's going on? They can either defend that and give the information to the coach, or they can look at it and be like, all right, cool, it's just more information for me to know. Then we can see habit consistency. So depending on what habits they have on their Trainerize profile, we can see what's actually going on. We can see, right, this person has all these habits here, they're doing great with this one, they're doing absolutely terrible with that one, maybe we should talk to them about it.
Then what the coach sees is all of the information, but in a certain way. And he also gets flagged. So we want to be able to see the whole check-in story in about 60 seconds, and we need to have flags to be able to do that. So we're able to see the self-reported data versus the actual data, and it's not adding up. The nutrition is red. They're 38% off the calorie targets that we had set for them. There's a spike on the weekends. Some days are only partially logged. They're likely under-tracking, based on their body weight change and the amount of calories they said they're having. They haven't done progress photos in 22 days, and their weight has actually stalled. So if we've seen all of this here, we have a pretty good picture of what's actually going on with the client, and then we can see what they're actually saying to justify things. So if they say their sleep is terrible, and then they're telling us, well, it's because I have two kids who are under two, sleep's all over the place, we're going to understand a lot more about the situation. Rather than just a Kahunas check-in where it says, oh, how was your sleep, and you say eight or two or whatever, and then the coach has to go follow up with you loads over that.
Then we have the intelligence layer. So we're able to see, right, well, based off this story here, they haven't updated their progress photos, maybe we need to give them a nudge about that. So then we can start to build out these kinds of actions that would happen, where either you or a support coach, or whatever way it's set up for you, can preload it to help you actually make those coaching choices and standardise what happens for people. It's not automating the actual feedback or anything, it's just making it faster for you to be able to do what you always do with the clients.
And then from there, we can take a step further and get it to actually take action for us. So for example, if we noticed a person's body weight wasn't dropping, their activity was quite high, and their nutrition looked to be fairly on point with actually tracking, we might need to reduce their calories. We might need to go from 2,500 to 2,300. Normally you would go, all right, cool, I'm going to note that down, then I'm going to go into Trainerize, go into their profile, change the calories, and then from there I'm going to send them a message to let them know, oh, I changed that. Now we can just say reduce calories. It will pop up saying, are you sure? We're going to reduce the calories, we'll keep the protein the same, we'll reduce the carbohydrates and fat to do it. Then you say yes, and from there it will send it off, and it will basically edit their calories and macros on their profile for you. And you can do the same with habits. So if we're noticing they're not logging their habits on the weekends, we can actually get it to put logging Saturday and Sunday with their food as a habit on their Trainerize profile. It just makes it so much easier to apply stuff.
Then on the coach's side, they're able to get more flags like this. This is one that we're working on with Les, which is going to be a daily contact board. So essentially, every single day, who needs to do what in the business, and who needs to be followed up with, and everything like that. And we can see, oh, Sam here, he's at risk. He's in a fat loss phase, his adherence score is 44, he's high risk. We can see that he hasn't actually logged his calories in X amount of time, and all these other trends that we're able to see because of this data now. It just makes coaching so much easier, and it takes the stress away from all this kind of stuff.
And then we're able to copy out the entire week. So if we wanted to copy this entire week and log it somewhere, or we wanted to copy the entire week and put it onto a document to give to them, or anything, you can copy all of that data out in one go and it's all there ready to go.
